GALLERIES COORDINATOR
The Galleries Coordinator serves as The Clay Studio's public face, greeting and serving customers as they enter our Functional Art and Exhibitions Galleries and students and artists coming to work in the studios. This position works independently and cooperatively with all Clay Studio Staff.
The Galleries Coordinator is fully aware of the current inventory and the artists in the Functional Art and Exhibitions Galleries. Gaining the trust of artists and clients through honest, timely, and professional communications is a high priority.
The Galleries Coordinator works with the team on artist correspondence, sales, inventory control, visual display and merchandising, photography, ordering tools, sales reports, packing and shipping, and administrative responsibilities.
DUTIES & RESPONSIBILITIES:
Below are the duties of the Galleries Coordinator, reflecting the tasks associated with their key competencies:
CUSTOMER FOCUS & EFFECTIVE COMMUNICATION
- Maintains a friendly, positive demeanor when interacting with colleagues, vendors, stakeholders, students, and visitors
- Provide exceptional customer service both in-person and by phone
- Assist customers with purchases, from help finding merchandise to efficient checkout and safe purchase wrapping
ESSENTIAL FUNCTIONS
- Provide exceptional customer service both in person and by phone
- Assist with the installation of artworks in the Functional Art Gallery
- Communicate professionally and promptly with artists and clients
- Prepare artwork for domestic and international shipping after the training period
- Entering data and maintaining accurate inventory records in our database
- Keep shop and gallery clean and well organized, following set standards
- Collect visitor data for relevant reporting (including daily attendance log)
- Train and direct the program assistants
- Communicate artist bio and conceptual content to a wide variety of visitors
- Prepare monthly artist payments
- Artwork photography and editing with Photoshop
QUALIFICATIONS & SKILLS:
- Self-motivation and dedication to excellence
- Ability to collaborate effectively and work independently
- A high level of attention to detail
- Excellent interpersonal skills and the ability to interact with a variety of people
- Strong computer competency
- Ability to handle art carefully
- Ability to lift 50 lbs.
- Ability to climb ladders and stairs regularly
- An understanding of clay techniques and materials
- Photography experience preferred
- Experience in retail, gallery, or non-profit arts organization preferred
- Knowledge of clay techniques and materials

WORK SCHEDULE:
A four-day per week, 10-hour day schedule or a 5-day per week, 8-hour per day schedule is possible. The 4-day work week schedule is Sunday, Monday, Thursday & Friday, 9:30 am – 7:30 pm, including a 1-hour lunch break daily. The 5-day work week schedule is Monday, 12-8 pm, Tuesday-Thursday 9:30 am – 5:30 pm, and Sunday 9 am – 5pm, including a 1-hour lunch break. This position is expected to participate in special events that may occur outside regular business hours; in these instances, hours are adjusted accordingly.
REPORTING RELATIONSHIP:
The Galleries Coordinator reports to the Galleries Manager and works closely with the Curator of Artistic Programs and the Deputy Director.
