Job Title: Marketing & Communications Director 
Reports to: Vice President and COO 
Type of Position: Full Time, Exempt  

About PYO Music Institute:  Based in Center City, Philadelphia, the PYO Music Institute (PYOMI) is the tri-state region’s premier youth orchestra organization for gifted, young, classical, and jazz musicians. Through ten program divisions—including classical, jazz, and symphonic band ensembles—as well as Tune Up Philly, a free, community-based music education program, PYOMI inspires a diverse spectrum of 600+ students with character, discipline, commitment, and community through music.  

Job Summary:  The Marketing & Communications Director (“Director”) will develop strategies and content to support increased engagement with the PYO Music Institute among all audiences. The Director will be responsible for various tasks across departments, including audience development, recruitment, communications, maintaining relationships with press/media outlets on behalf of the organization, community outreach, content curation, storytelling, and other institutional initiatives. The Director will increase the institution’s visibility among students, parents, audiences, and donors by analyzing industry trends and implementing effective and current strategies.  

Duties & Responsibilities: 

Communications

  • Develop and implement communications campaigns to promote and maintain the positive image of the PYOMI. The Director will manage communication efforts for PYOMI and liaise with traditional and non-traditional media, pitching feature stories, coordinating media/press contacts at concerts, rehearsals, and events, and securing press coverage across various media channels (digital, print, television, radio, etc.). 
  • Develop and implement short- and long-term media relations and communications strategies, including external and internal constituent email communications to support student membership recruitment, concert attendance, audition development, and financial contributions.  
  • Build and manage media lists and develop relationships with key media professionals who cover arts and culture and/or educational/youth programming. 
  • Generate and distribute press releases, media advisories, electronic press kits (EPK’s), blog posts, and other media materials for concerts, auditions, events, student & alumni feature stories, and other PYOMI programming. 
  • Support development of the PYOMI story by collecting and summarizing notable premieres, events, touring, and institutional accomplishments on an ongoing basis. 
  • Track and manage press coverage, including maintaining archives, pulling quotes, and assisting in photo selection 

 

Social Media Management 

  • Develop social media strategy; generate content and maintain day-to-day oversight for all PYOMI’s social media platforms; communicate with social media followers. 
  • Manage paid social and advertisement campaigns. 
  • Engage with a diverse group of students, families, donors, partners, staff, and board members for content creation, including collecting quotes and developing potential story ideas.  
  • Monitor and analyze social media and website metrics to track performance and engagement, making data-driven recommendations for improvement. 

 

Marketing & Print Material Management 

  • Manage writing, designing, editing, and production of PYOMI marketing and print materials.  (e.g., informational brochures and fliers, concert programs, stationery, website content).   
  • Collaborate with external designers as needed. 
  • Manage the design of all concert programs, incorporating program information, bios, program notes, advertisements, and donor lists.  Prepare and deliver program files for production. 

 

Ticketing & Event Support 

  • Manage ticketing for concert and fundraising events. Build all development and concert events on CRM/Ticketing platform, organize seating assignments and concert ticket distribution, track and report on concert attendance, and coordinate follow-up communications. 
  • Attend PYOMI and external community events to support and observe patron experience; discover friction points, audience development, and patron engagement opportunities; assist with planning and executing community outreach initiatives; and serve as another liaison between the PYOMI administration and students/parents/supporters.  

 

Advertisement Campaign 

  • Develop and implement the Print and Digital Advertising Campaign to reach earned revenue goals.   
  • Design and update print and digital advertisement opportunities form, including building ad offerings on CRM/Ticketing platform.
  • Communicate with and solicit businesses, schools, individuals, and music festivals for advertisement packages in concert and gala program books. 
  • Manage invoicing and tracking of advertisement sales. 

 

Other 

  • Develop and manage the production timeline of all marketing, communication, social media, public relations, and print material deliverables. 
  • Work with Vice President and COO to create and track the marketing/PR budget. 
  • Review quarterly marketing/advertising/PR efforts and draft quarterly marketing/PR board reports.  
  • Complete other small in-house graphic design projects as assigned, including but not limited to digital advertisement and social media graphics. 
  • Maintain PYO Music Institute’s website (via WordPress) and ensure all content is accurate and current. 
  • Other duties as assigned. 

 

Desired Qualifications: 

  • Bachelor’s degree in marketing, communications, or related field; master’s degree preferred  
  • Five years or more of marketing experience preferred  
  • Strong digital marketing, public relations, and brand management skills 
  • Exceptional verbal and written communication skills 
  • Excellent organizational skills and attention to detail 
  • Skilled in project management  
  • Ability to work both independently and as a part of a collaborative team in a fast-paced, deadline-driven environment 
  • Proficiency in Microsoft Office, MailChimp, Adobe, InDesign, WordPress  
  • Experience with generating video content and video editing is a plus  
  • Ability to work flexible hours, including evenings and weekends 

 

Compensation and Benefits: 

  • Salary Range:  $70,000 – $85,000  
  • Flexible work schedule

  • 15 days PTO with additional time off/office closure surrounding major holidays and during the summer months as scheduled 
  • Compensation commensurate with education and experience
