MANAGING DIRECTOR AT PHILLY WOMEN'S THEATRE FESTIVAL
The Managing Director is responsible for generating, directing and supervising day-to-day administrative duties and overseeing financial management, strategic planning, and community relations. The Managing Director is an important part of our organization’s culture and should be familiar with related tasks of such a role in order to operate both collaboratively and independently. They will work closely with the Artistic Director to bring PWTF's vision to life.
ABOUT PWTF
The Philadelphia Women’s Theatre Festival is more than an annual event. We are an institution for change. The Philadelphia Women's Theatre Festival fosters and encourages women in the performing arts by offering unique opportunities for exposure, professional, artistic and personal development and a platform for performance.
DUTIES:
General Administrative:
Coordinate senior staff meetings through scheduling, agenda preparations when necessary, and note-taking
Conduct annual edits to the staff handbook
Ensure proper insurance and city permits are acquired for all events
Lead and execute legal matters on behalf of PWTF, including direct deposits, state and county filings, and more
As necessary - Develop calendars and timelines for administrative, financial, or marketing tasks.
Budgeting:
Hold account information of all PWTF bank accounts and holdings
Regularly check and monitor PWTF accounts
Make deposits and/or withdrawals from the PWTF account as necessary
Schedule payments through Quickbooks Online
File end of year tax records (990 postcard)
Complete the annual report
Monitor regular subscriptions and service accounts for PWTF
Maintain organizational financial records in Quickbooks Online
Staff management:
Oversee the search for and hiring of any administrative seasonal staff, and conduct onboarding
Provide oversight and instruction on projects to seasonal staff and senior staff in collaboration with Artistic Director
Create, disseminate, and collect all staff, artistic, and contractors contracts on a yearly basis.
Oversee marketing staff
Programmatic:
Facilitate the planning process and vision of the Artistic Director for the PWTF season through the establishment of timelines and systems.
Board relations:
When necessary, serve as the staff liaison to the Board President
Serve on at least one committee with the Board
QUALIFICATIONS:
A Bachelor’s Degree in theatre, business, finance, or a related field
At least 2 years experience in business administration or arts administration
A passion for PWTF’s mission, vision and values to create opportunities for women in theatre and amplify unheard voices
Excellent written communication and relationship building skills.
Proven ability to work well both independently and collaboratively.
Excellent organizational skills.
Experience with managing multiple projects, schedules and budgets simultaneously.
Excellent problem-solving skills and flexibility/adaptability (a can-do attitude!)
Experience with Quickbooks preferred
COMMITMENT:
This is a 1099 contracted position, from June 2025 through December 2025, with possibility for extension beyond this period.
The role requires an average of about 15-20 hours a month. Some months will require more or less, depending on programming.
COMPENSATION:
$350 monthly stipend.
