Glen Foerd, a dynamic cultural institution committed to enriching our community through arts, culture, and environmental education, seeks a highly organized and detail-oriented Executive Assistant to provide organizational support to the Executive Director and contribute to the success of fundraising activities. This role offers an exciting opportunity to be part of a vibrant cultural organization. 

Position Summary

The Executive Assistant will provide comprehensive administrative support to the Executive Director, including calendar management, correspondence, and other essential tasks. This position will also play a key role in supporting development efforts by maintaining accurate database records and coordinating communications with prospective donors. The ideal candidate will possess strong communication and organizational skills, attention to detail, a proactive attitude, and a willingness to learn and grow within the organization.

 

Responsibilities

  • Manage the Executive Director's calendar, including scheduling meetings, appointments, and travel arrangements
  • Prepare and manage correspondence, including drafting emails, letters, and other documents
  • Maintain accurate and up-to-date database records, including contacts, accounts, and donations, to ensure comprehensive and reliable record-keeping
  • Assist the development team with coordinating phone calls and meetings with prospective donors, including scheduling, preparing materials, and tracking follow-up
  • Maintain accurate records and files, both physical and electronic
  • Answer and direct phone calls, greet visitors, and provide general information about Glen Foerd
  • Order and manage office supplies
  • Assist with event planning and logistics as needed
  • Provide general administrative support as required

 

Qualifications

  • High school diploma or equivalent required; some college preferred
  • Minimum of 2-3 years of experience as an administrative or executive assistant or in a related role
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with CRM databases, particularly Salesforce, is highly desirable. A willingness to participate in Salesforce training is essential
  • Excellent communication skills, both written and verbal
  • Strong organizational skills and attention to detail 
  • Ability to multitask and prioritize tasks effectively
  • Proactive and resourceful with a strong work ethic.
  • Ability to work independently and as part of a team.
