The Fabric Workshop and Museum

FWM seeks a Development Assistant who will be responsible for operations and donor relations functions to support Development department initiatives. Reporting to the Director of Development, this position will support building funding support, maintaining clear and accurate donor files, and providing excellent donor relations. 

This full-time exempt position takes place onsite and is expected to start in October 2024. The salary range is $40,000 to $45,000 annually, and benefits include medical, vision, and dental, access to retirement savings, vacation time and sick/personal days, paid holidays, access to an employee assistance program, FWM membership, FWM Museum Shop employee discount, and an American Alliance of Museums membership. 

DUTIES & RESPONSIBILITIES 

Gift Administration  

  • Manage all stages of gift processing, including data entry, records maintenance, and acknowledgements.  
  • Check postal mail for gifts daily.  
  • Process all mailed cash, check, and credit card payments daily.  
  • Prepare and send donor pledge reminders/invoices; participate in benefit and gift fulfillment as directed.  
  • Administer CRM to track donors and generate reports and mailing lists.  

Operations  

  • Prepare FWM Board meeting packets and take Board meeting minutes.  
  • Schedule all meetings for the Development department and FWM Board’s Development Committee; prepare materials and take meeting minutes; capture action items and follow up on outstanding items.  
  • Monitor departmental budget, prepare purchase orders, process invoices, track expenditures, etc.  
  • Serve as the point of contact for the Development department and all other FWM departments. 

Data Management  

  • Regularly manage constituent database and other FWM mailing lists to ensure all contacts are up to date and coded appropriately.  

Institutional Gifts and Grants 

  • Maintain a calendar of grant proposals and reports. 
  • Contribute to grant writing and reporting by gathering data. 

Membership and Annual Fund  

  • Calendar and carry out a schedule of appeals, renewals, and communications for membership and annual fund. 
  • Write messages for all types (acknowledgements, appeals, renewals, invitations, newsletters) of membership communications.  

Fundraising and Stewardship  

  • Coordinate with Communications team on the production of all fundraising and donor stewardship materials including invitations, email graphics, social media posts, etc.  
  • Assist with the printing, assembling, and mailing of invitations, solicitations, and stewardship arrangements.  
  • Coordinate volunteers for Development department events and mailings, as needed.  
  • Print and mail in-house invitations for special Development events and track responses/reservations.  
  • Respond to fundraising requests for community support from local nonprofits.  
  • Coordinate and execute stewardship events with Director of Development and External Affairs team.  
  • Support donor stewardship, membership, and fundraising events as needed; work all fundraising events.  
  • As an integral member of the Development team, assist Director of Development as requested.

QUALIFICATIONS  

  • Bachelor’s Degree required.  
  • 1 – 3 years’ broad-based nonprofit experience, preferably in an arts/culture development setting.  
  • Grants process experience is a plus.  
  • Expertise in database management.  
  • Strong communications skills required.  
  • Familiarity with development best practices.  
  • Familiarity with contemporary art and art community preferred.  
  • Familiarity with Philadelphia philanthropic landscape preferred.
Education Level: 
Bachelor’s Degree required.
