Job Title: Staff Accountant (F/T, Hybrid)

Department: Finance

Position Reports To: Accounting Manager

Exempt/Non:  Non-exempt

Salary Range: $59,000.00 To 62,000.00 Annually

Primary Function: The Staff Accountant is responsible for the entire accounts payable and accounts receivable functions as well as assigned tasks for the month-end and year-end close.   

Education/Training/Experience: 

  • Bachelor’s degree in Accounting or related discipline plus two years work history OR Associate’s degree in Accounting or related discipline plus four years work history.
  • Intermediate computer skills working with integrated accounts payable and general ledger packages.
  • Intermediate experience with Microsoft Office suite.
  • Account analysis experience.
  • Accounts Payable experience including W-9 maintenance, contract review, 1099 reporting and international transaction processing.
  • Ability to develop strong partnerships with internal managers.
  • Strong attention to detail, organization and planning skills.
  • Ability to exercise strong, independent judgment and discretion.
  • Not for profit experience preferred, but not required.

Physical Demand Analysis:  

  • Physical Requirements:  Lifting up to 10 lbs.  80% of day sitting required.
  • Visual Requirements:  Extensive computer use and review of documentation.
  • Hearing Requirements:  Phone use
  • Working Conditions:  Position operates in an environment that is generally free of noise, dust, temperature extremes or other hazards.

Job Specific Competencies:

Accounts Payable Processing

  • Processes accounts payable batch of 50-70 invoices per week in an accurate and timely manner, ensuring the items to be paid are authorized, properly coded and appropriately recorded in the accounting software.
  • Address Finance mail (physical and electronic) ensuring timely responses.
  • Payments are processed and distributed timely.
  • Voided checks are properly documented, approved and processed timely.
  • Accounts payables are filed promptly and correctly (alphabetically) with most recent check forward. 
  • Prepares organizational credit applications.
  • Responds to staff and vendor inquires related to payment requests and status.

Petty Cash

  • Point of contact for all Barnes staff petty cash needs.
  • Validates that documents provided for request are authorized and coded properly.
  • Maintains accurate quarterly recording of cash outflows and petty cash count. 
  • Reconciles and replenishes petty cash account quarterly, or as needed.
  • Protects and safeguards the petty cash lockbox at all times.

Cash Receipts Entry

  • Retrieves reviews and processes cash batches to GL capturing all revenue and receipts. 
  • Reconciles daily credit card, ACH and other deposits to bank’s posting.

Corporate Credit Cards

  • Prepares request for payment 
  • Prepares and sends out reconciliations for all cardholders.
  • Ensures the reconciliations are returned in a timely manner, are properly authorized and coded, and complete. Completed reconciliations are entered into the accounting software. 

Compliance

  • Prepares monthly sales and parking tax reports and requests electronic payment processing upon approval.
  • Maintains vendor W-9 information. Prepares and files 1099s by the appropriate deadlines. 

Month-End

  • Prepare monthly closing entries as assigned per the monthly close checklist.
  • Reconciles monthly accounts as assigned per the monthly close checklist.
  • Prepares and distributes monthly reporting to budget managers. 

Year End Audit

  • Assists with preparation of audit request list and additional requests from auditors.
  • Timely response to any additional requests from auditors. 

Customer Service

  • Maintains the highest level of confidentiality and integrity in dealing with sensitive information.
  • With training, provide payroll processing back-up support for the Payroll Coordinator.
  • With training, provide data entry back-up support for Development Services.
  • Performs other duties as requested.
