The Barnes Foundation

Primary Function: The Associate Registrar reports to the Director of Registration and Exhibition Management and is responsible for managing the logistical aspects of incoming loans for the institution’s exhibition program at Calder Gardens, and other duties, as assigned.

Job Qualifications: 

  • Bachelor’s or Master’s degree in Art History, Museum Studies, or a related field. 
  • Minimum of three years of experience in museum registration including experience with exhibitions and loans.
  • Demonstrated knowledge of standard museum practices and procedures.
  • Collections management database experience (TMS preferred) and a proficiency in Microsoft Office programs and Google applications.
  • Fluency in a foreign language is preferred.
  • Must be a well-organized, detail-oriented and deadline-driven individual who is cool under pressure, multitasks gracefully, takes initiative to support others and solves problems proactively.

Licenses/Certifications:  Ability to obtain a valid passport and the flexibility to travel with exhibitions.

Physical Demand Analysis:  

Physical Requirements:  Must be able to stand and walk during 8-hour shifts with minimal rest breaks. Ability                                                      to occasionally lift up to 25 lbs.  

Visual Requirements:      Pay attention to detail. 

Hearing Requirements:   N/A

Verbal Requirements:     Must be able to engage guests in conversational English; bilingual or multilingual skills a plus.

Working Conditions:         Position operates in the foundation’s buildings and on the foundation’s grounds at the Philadelphia campus.

Job Responsibilities:

  • Acts as point person for Calder Gardens artwork registration, attending regular meetings, creating and maintaining object records, and flagging staffing needs.
  • Maintains exhibition records in TMS and produces related paperwork including checklists, loan agreements, receipts, and condition report forms.
  • Tracks the Barnes’ incoming loan requests and coordinates with Senior Registrar to align incoming and outgoing requests as needed.
  • Develops shipping budgets in a timely fashion and ensures each exhibition remains within budget or variances are quickly flagged. 
  • Responsible for arranging incoming and outgoing shipping, packing and courier logistics related to temporary exhibitions for local, domestic, and international loans. 
  • Oversees incoming and outgoing shipments, working outside of regular business hours when necessary. 
  • Plans and oversees exhibition installations and deinstallations in collaboration with relevant departments and contractors
  • Obtains lender requirements for conservation, installation, and security and ensures lender requirements are met. Manages logistics for Barnes-organized or co-organized exhibitions at other venues when required. 
  • Communicates schedules, policies and procedures related to exhibitions to relevant staff. 
  • Provides information for domestic and international indemnity applications and immunity from judicial seizure. 
  • Coordinates oversight of filming in art spaces. 
  • Supports Senior Registrar and other colleagues as necessary.
