Purpose: The Assistant Registrar shares the responsibility of the daily operations of the Registrar’s Office and the maintenance of Undergraduate and Graduate student academic records.

Requirements:

  • Undergraduate Degree
  • Experience within an academic environment, preferably in Academic Records
  • Experience in working with computer databases and Microsoft Office
  • Experience with student information systems preferred
  • Ability to interact and communicate effectively with students, faculty and staff
  • Strong attention to detail and ability to handle multiple tasks simultaneously
  • Highly organized and efficient
  • Commitment to adhering to FERPA and other regulations and policies governing student privacy, confidentiality and data security.

Responsibilities:

  1. Assist in the preparation and process of Advising and Registration:
    1. Prepare for online registration each semester.
    2. Identify students who have not registered.
    3. Assist students with online registration.
    4. Troubleshoot and correct/change academic records as necessary.
    5. Record approved transfer courses and credits on student transcripts
  1. Assist in the preparation and process of new semester clearance and end-of-term processes:
    1. Process student schedule changes in the Student Information System (SIS) during Drop/Add.
    2. Prepare class lists for faculty as needed using SIS.
    3. Process new student enrollment.
    4. Assist with final grades.
    5. Assist Senior Academic Advisor with auditing students for graduation
    6. Process graduation petitions.
    7. Order and prepare diplomas for Commencement.
    8. Prepare schedule for semester final critiques and exams in collaboration with academic department Chairs and faculty.
  1. Generate custom reports for Registrar’s Office and other various office.
  1. Database Maintenance & Integrity Projects:
    1. Correct coding in current student academic records and transcripts.
    2. Maintain Degree Requirements for each curriculum in SIS.
  1. Maintain and process records:
    1. Process course and College withdrawals.
    2. Customize Academic Plans in SIS.
    3. Process online transcript requests, including requests for other institutions for which Moore College is Custodian of Records.
    4. Assist in office coverage and provide service to faculty, staff, students, alumni and parents in-person, on the phone and via email.
    5. Maintain electronic and paper forms used in office.
    6. Process incoming and outgoing mail.
    7. Train, supervise and organize schedules of work-study students.
    8. Process address changes.
    9. Process loan deferment forms and verification of enrollment letters.
  1. Reserve classrooms in SIS or other software as appropriate for meetings and events for other campus departments, student groups, faculty and other users.
  1. Course evaluation surveys:
    1. At the direction of the Associate Dean for Academic Services, prepare and distribute surveys.
    2. Arrange for confidential collection of surveys.
    3. Assist the Associate Dean with recording and analysis of results.
  1. Record retention
    1. At the direction of the Registrar, locate files and verify contents.
    2. Secure and scan documents that need to be maintained.
    3. Coordinate secure records disposal with outside vendors.
  1. Other duties and projects as assigned.
