Reporting to the Chief Philanthropy Officer (CPO), the Coordinator, Donor Services is responsible for the overall coordination, and management of the Development offices donor/prospect data base. This includes data entry, gift entry, reports, data base clean up, mailings to donors dependent on pledge reminders, and coordination of direct mail solicitations.

This position also includes stewardship of donors, overseeing all corporate sponsor activations, funder acknowledgments, and follow-up. Further, the position will be responsible for assisting with the details for the annual gala and all fundraising/donor-related events.

The Coordinator, Donor Services will also be responsible for being the liaison with the Marketing Department’s data base manager and Senior Director of Business Development.

This position is part of the AFSCME Local 397 bargaining unit.

Essential Responsibilities:

  • Support all Museum individual giving campaigns in partnership with the CPO, including the Museum’s fall campaign, working to identify/qualify/cultivate and solicit new donors primarily from PTM’s membership while retaining existing donors.
  • In collaboration with other Development staff and CPO, assist in working with Museum Committees and task forces as well as coordinate the CPO’s schedule of personal interactions with donors including phone calls and visits to initiate one on one engagement and solicitation opportunities.
  • Assist in organizing, planning, and executing cultivation and stewardship events.
  • Administer all donor e-communications through Outlook and Constant Contact.
  • In collaboration with other Development staff and CPO, execute fundraising, cultivation, and stewardship events.
  • Assist other Development staff and CPO in creating timelines, and promotion/outreach plans, working in collaboration with other Museum departments.
  • Assist other Development staff and CPO to identify and cultivate event committee for Imagination Ball, and other events then assist and steward the committee members.
  • Help coordinate post-event tasks including the reconciliation of gifts and donations in conjunction with the finance department, evaluation, and recommendations for the following year.
  • Maintain all technical aspects of the development operations.
  • Assist in maintaining database systems in collaboration with the Museum’s Database Manager. This includes maintaining up-to-date prospect and donor records for pledges and gifts, administrating donor acknowledgments, constituent interactions, and running reports.
  • Work closely with Database Manager and Finance Team to ensure Altru and Financial Edge are in alignment.

Minimum Qualifications:

  • A bachelor’s degree or the equivalent and minimum 2 years working in a non-profit development department.
  • This position requires a highly motivated, and organized, self-starter with demonstrated ability in both spoken and written communications.
  • Must be able to maintain multiple tasks and meet deadlines without supervision. Must be adept at working with people and organizing committees focusing on achievable goals.
  • Able to listen carefully to prospective donors, displaying a creative, problem-solving attitude while maintaining a donor-centric fundraising philosophy and approach.
  • Proficiency in Microsoft Office Suite; familiar with experience with Donor Management software; Altru experience a plus.
  • Ability to understand and structure budgets.
  • Must have some evening/weekend availability as needed for donor activations and special events.

  • Must have PA Act 153 clearances (PA criminal history, FBI fingerprints, and PA Child Abuse) completed prior to hire.
