About the Position: The German Society of Pennsylvania is seeking a detail-oriented and organized Temporary Office Manager/Event Coordinator to join our team while our Executive Director is on maternity leave. The successful candidate will play a key role in managing our office operations and coordinating events during a busy season. This position is perfect for someone who enjoys a varied work environment handling a broad assortment of daily tasks. The ideal candidate will have experience (or interest) in working in a multi-cultural environment, and will be an energetic and self-motivated individual, able to balance office responsibilities with event planning, along with effective interaction with members, volunteers, and Board members.

The Temporary Office Manager/Event Coordinator reports to the President and VP of Operations.

Key Responsibilities:

  • Manage some day-to-day office operations, including administrative tasks, scheduling, and correspondence
  • Coordinate logistics for events, including planning, vendor management, and on-site execution
  • Ensure smooth communication between team members, clients, and vendors.
  • Assist in the preparation of event materials, presentations, and other documentation
  • Handle any other tasks as needed to support the team and ensure successful office function and events

Qualifications:

  • Proven experience in event coordination
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to multitask and prioritize in a dynamic environment
  • Proficiency in: Microsoft Office Suite (including Word, Excel, and Publisher), Google Suite, and common social media platforms (Facebook, X, Instagram)
  • Preferred knowledge of membership database software or CRM systems
  • Ability to work independently and as part of a diverse team
  • Knowledge of German is a plus, but not required

Schedule:

  • Start Date: October 1, 2024
  • End Date: Early to mid-March 2025
  • Normal working hours are 9:00am-5:00pm, Monday through Friday.
  • Some evening and weekend availability on specific dates is required.
  • Unpaid holiday break from December 21, 2024-January 1, 2025
  • This is a temporary position with no benefits.
