The Programming Associate is a dynamic role, ideal for an arts administrator with a strong drive to bring arts education experiences to young people. Working under the supervision of the Programming Director, the Programming Associate fields incoming calls and requests for YA programming, managing the client experience from start to finish. A hallmark of YA is excellent service and support to our school partners and artists—the Programming Associate is important to a high level of service. The Programing Associate also provides administrative support for the Programming Director, and two Education staff members.  Administrative duties include scheduling, data entry, processing purchase orders, insurance requests, and artists confirmations.

JOB RESPONSIBILITIES 

Sales of Workshop and Residencies (60-70%)

  • Act as point person for incoming programming requests and inquiries
  • Sell, schedule, confirm and contract YA programs in schools, liaising to provide comprehensive support to all involved from the initial inquiry to the post-program survey
  • Proactively market and promote programs to school partners, through 1:1 outreach
  • Process paperwork (digital and paper) for school programs including insurance documentation, purchase orders, invoices, artist confirmations, payment processing and follow-up surveys
  • Follow up on missing documentation; manage schedule changes
  • Collaborate with marketing department on marketing efforts: eblasts, social media and annual printed program guide.

Education Department Administrative Support (20-30%)

  • Support Education Department with administrative functions including but not limited to: scheduling programs, creating and tracking contracts in Salesforce CRM, creating artist contracts and confirmations, coordinating distribution and return of assessment surveys.
  • Provide administrative support on presentations, virtual meetings and small in-person events as needed
  • Contribute to YA Initiatives (10%)
  • Contribute to Young Audiences’ ongoing efforts to improve in relation to diversity, equity, inclusion and access, according to YA’s Arts United Plan.
  • Participate in organization-wide fundraising events and efforts.
  • Other duties to contribute to YA’s organizational goals as assigned

Essential Qualifications

  • 2-3 years experience in arts education or arts administration (ex. box office and front of house functions, administrative assistant, customer service)
  • Engaging, and informative communication skills, including email and verbal communication
  • Excellent attention to detail
  • Experience in customer service, including resolving problems with care
  • Ability to manage multiple tasks, and shift gears quickly due to ebb and flow of the day
  • Experience with Google suite and Microsoft Office. 
  • Experience with or ability to learn: Salesforce, Teams, Canva, and Survey Monkey
  • Tenacious yet gracious work style; our school partners are busy, and our persistent and consistent efforts are keys to successful programs

  • All YA staff must have an abiding belief in the value and necessity of the arts as an essential component of childrens’ education.

Additional Information

This position is in our Princeton office Monday-Thursday 8:30-4:30, and Friday 8:30-4:30 working from home, with occasional exceptions. Unfortunately, we cannot accommodate requests for alternative work from home arrangements.

YA Office hours are 8:30-4:30, M-F to accommodate our school-based focus.

Visits to our in-school programs may be needed for onboarding and orientation in the first three months of employment and intermittently throughout the year. The ability to travel to schools and events within our service region of New Jersey and Eastern PA is required. Mileage is reimbursed at prevailing IRS rate, currently .70 per mile.

This position requires significant computer usage for email communications, Zoom/Teams meetings, interoffice communications on Teams, and data entry. To the best of our ability, YA provides workspaces (home and in office) as requested by each individual staff person to support their comfort, productivity and wellbeing.
