Butera Art Advisory and Management, LLC is looking for a highly organized and detail oriented individual to join our team as an administrative assistant. Butera Art Advisory is a full service independent art appraisal, sales advisory and collection management firm. The position will work closely with the firm’s president who is based near Devon, PA. While this role is remote, there is a preference for the candidate to be based in the Philadelphia/Main Line area or New Jersey/New York area. The role will start at around 20-30 hours a week Monday-Friday but likely increase to 30-40 hours a week for February through at least August to provide coverage and assistance during partial maternity leave.
Job description:
Administrative assistant will provide high level, multi-faceted administrative support to the firm’s president and on occasion to other members of the team. This is a key role that requires strong organizational skills, excellent communication abilities, and the ability to multitask efficiently.
Primary responsibilities:
· Conduct office tasks based on shifting priority and deadlines in a dynamic and fast-paced environment
· Perform clerical tasks such as data entry and document management
· Drafting correspondence
· Coordinate and schedule appointments
· Setup and editing of appraisal reports and sales recommendations
· Managing calendar with project timelines and deadlines, including tracking clients’ appraisal and auction projects and overseeing communication with auction houses and other third-party vendors
· Oversee firms’ monthly newsletter and social media posts
· Preparation of client service agreements and specialist/contractor project agreements
· Other duties and projects as assigned by the firm’s president
Skills and requirements:
· Bachelor’s degree preferred or equivalent work experience
· General knowledge of art history and art market preferred
· Position requires active listening, efficient problem-solving, meticulous attention to detail and practical judgment to address client queries and issues proactively
· Fast learner with excellent verbal and written communication skills
· Excellent interpersonal and communication skills with a pleasant client, service oriented attitude.
· Self-motivated team player with a strong work ethic and superior organizational skills
· Ability to multitask, work independently and remain, under pressure.
· Must provide own computer/laptop, Mac preferred
· Must be familiar with Microsoft Office applications, particularly Word and excel and have the ability to work in word with adding, cropping, and resizing images
Hourly rate range of $20 to $30 commensurate with experience. Candidates must be eligible to work in the US – no exceptions.
