Commonwealth Youthchoirs(CY) seeks a full-time Librarian / Production Stage Manager

POSITION SUMMARY:  The CY Librarian / Production Stage manager is a two part position, as Librarian serving as the main liaison between the CY Artistic Director and the conductors of each choir  to ensure that all printed music is distributed to all singers in each conductor’s choir to ensure that each choir transform singers’ lives through the power of song, and also serving as the Production Stage Manager for all CY Performances and major rehearsals for those events.

Commonwealth Youthchoirs (CY) is the 501c3 that administers six choral education programs for over 800 young people in the Greater Philadelphia Region: Keystone State Boychoir (KSB), Pennsylvania Girlchoir (PG), Garden State Girlchoir (GSG), New Jersey Boychoir (NJB), Find Your Instrument! (FYI!), an outreach program in underserved schools, and Musical Theater Geek Chorus (MTGC), CY’s newest program - for our musical theater fans!

Job Responsibilities

The following statements reflect the general duties and responsibilities considered necessary to perform the essential functions of the job and should not be considered as a detailed description of all the work requirements of the position. 

CY Librarian - Responsible for maintaining the CY Music Library, ordering all music for each choir, overseeing the assembly of all chorister music binders and crates of back up music that each group sings during each season, and maintaining database of listening tracks made available to singers each season.

Maintenance of CY Music Library

  • Storage, organization of all printed music in CY Library
  • Maintaining accurate Library Database

Music ordering

  • Liaison between Artistic Director and staff
  • Help to maintain Master Repertoire Sheets
  • Communication with Conductors, Program Managers
  • Educating Conductors on Ordering Protocols so that Repertoire selection/needs for all concerts throughout the year are available in a timely manner
  • Confirming quantities that need to be ordered
  • Primary interface with CY and all printed music vendors
  • Tracking that all music ordered has been received and added to CY Library
  • In collaboration with CY Managing Director and CY Bookkeeper, ensure that all Printed Music expenses are accurately recorded

Binder Assembly, Distribution and Collection for all CY Programs

  • Oversee Binder Assembly & Distribution so that all singers have the appropriate music in their binder at the start of each semester
  • Oversee Binder Collection, dis-assembly and storage of music at the end of each semester, including tracking which singers 

Miscellaneous

  • Crate assembly/maintenance
  • Building and Maintaining CY Listening/Rehearsal Track Master Sheet

 

Production Stage Management - Responsible for all administration and logistics relating to major performances, rehearsals, and the venues in which they take place. 

Principal Duties and Responsibilities

  • Manage CY sponsored concerts and major run outs and final rehearsals
  • Work with conductors to assemble scripts
  • Work with conductors to organize staging of choir
  • Oversee all necessary equipment needed (risers, keyboard/piano, sound etc)
  • Manage back of house logistics
  • Supervise front of house logistics
  • Manage Sound / Light cues

Manage Joint Rehearsals

  • Work with conductors to assemble rehearsal schedules and plans
  • Running rehearsal
  • Overseeing that all rehearsal/performance materials are in place

Performance and rehearsal venues

  • Identify performance and rehearsal venues as needed
  • Schedule walk thrus with venues and applicable staff
  • Primary contact with Venue staff before and during performance

Handle contracting in partnership with Business Director

  • Negotiate performance fees
  • Draw up, send out, and execute contracts

 

Qualifications

  • Bachelor’s degree 
  • Car required
  • Available nights and weekends, some travel
  • Strong organizational skills and excellent communication skills (both written and verbal)
  • Proficiency in the use of technology is expected, including fluency in Google Suite (Google Docs, Google Sheets)
  • Effective interpersonal skills are needed to successfully interact with a variety of people, including singers, parents and staff
  • Work independently and as a team member, prioritizing multiple projects in a busy environment accurately, efficiently, and with a high level of attention to detail, balancing and satisfying competing deadlines and personalities
  • Ability to know when to ask questions and when to take initiative. And you must be able to learn quickly and have the willingness to assume tasks as needed.
