As a concept museum, NLM is not beholden to a particular historical period, event, or collection, which frees us to bring a multidisciplinary lens to the ongoing process of interpreting liberty in meaningful ways with and for contemporary audiences. NLM’s primary collection, then, is best understood as the content that gets created, explored, debated, and reflected upon across all NLM’s activities – from gallery shows and exhibition interactives, to speaker series, panel events, and off-site field work, such as artist interviews, civics workshops, community dialogues, and pop-up storytelling.
Position Summary
In collaboration with the Director of Museum Experience, the Marketing and Events Coordinator will play a vital role in planning and executing a range of museum programs and events, including exhibition openings, cultivation events, public programs, award ceremonies, facility rentals, and the annual gala. The coordinator will handle a variety of operational tasks, such as drafting invoices, collecting payments, corresponding with vendors and affiliates, and managing the setup and teardown of events, as well as data entry and reporting. Additionally, they will assist with coordination and distribution of marketing materials including but not limited to e-blasts, social media posts, and printed promotional work.
Essential Duties and Responsibilities:
- Assist in the creation, implementation, and monitoring of marketing campaigns.
- Review and revise marketing materials, including blog posts, newsletters, emails, and social media content.
- Draft event graphics and promotional materials using established branding and templates.
- Ensure cohesion across all communication touchpoints.
- Support the planning and execution of museum programs and events, such as exhibition openings, cultivation events, public programs, award ceremonies, facility rentals, and the annual gala.
- Coordinate the setup and teardown of NLM events.
- Maintain up-to-date records of venue space capacities and configurations, available event-related equipment and inventory, policies, and frequently asked questions.
- Reconcile invoices in a timely manner.
- Respond to facility rental and event inquiries from various constituents via email, phone, and in person.
- Conduct walkthroughs and detail event logistics with clients for both on-site and virtual programming.
- Track event data, including registration attrition rates, per-person food and beverage costs, and venue rental payments.
- Collaborate with the Director of Museum Experience to manage the special events resource inventory, which includes items such as tables, chairs, and IT equipment.
- Assist museum experience staff in maintaining museum galleries and public spaces in excellent condition.
- Assist with daily operations, as needed, including covering lunch breaks, welcoming groups, point of sale reconciliation, guest support, and opening and closing the museum.
Successful Candidates will have:
- 2-4 years in operations, event planning, marketing, or comparable education
- Bachelor’s degree preferred, but not required
- Strong written and verbal communication skills
- Experience organizing staff during events
- Experience with HubSpot, Canva, Adobe, and CRM tools, preferably Altru
- Ability to handle up to 50lbs during event set up or take down
- Ability to work flexible hours including nights, weekends, and holidays
- Can work well under pressure and adapt to changing situations and priorities; exercises good judgment and stays focused on overarching goals
- Ability to represent NLM well in a variety of settings
