Philadelphia Theatre Company (PTC), a leading regional theater company, is seeking a full-time Development Operations Associate to join our development department team. The Development Operations Associate reports to the Director of Development, and will have a broad range of duties to help advance the organization’s mission. Assisting PTC leadership in achieving annual fundraising goals, they will manage the administrative functions of the department, support signature events, assist with donor stewardship and outreach efforts. This position offers an exciting opportunity for growth and success within a civic cultural institution.
Duties and Responsibilities:
- Donor Engagement: Provide excellent customer service by phone and email and respond to our donor community's needs promptly and professionally.
- Work with the Director of Development to manage annual fundraising campaigns, track results, and drive timelines for fundraising outreach.
- Analyze donor giving patterns to increase donor attraction, retention, renewal, and acquisition.
- Conduct research on donor prospects and other acquisition strategies to expand donor base.
- Collaborate with the marketing team on website updates, programs, email and print communication and keep the Development communications calendar up to date.
- Gift Processing: Initiate gift processing procedures upon receipt and regularly send acknowledgment letters.
- Manage donor pledges and track annual giving, including coding transactions accurately.
- Data Management: Maintain our digital filing system via Google Workspace.
- Oversee data integrity of Tessitura, our institutional CRM used for all donor activity tracking.
- Learn to pull lists and extractions for all types of donor communication.
- Utilize the database and create reports to support donor stewardship, cultivation and moves management.
- Budget Support: Work with the finance department to reconcile monthly income reports and report on outstanding pledges.
- Code expenses for department, and maintain records for the annual audit.
- Special Events: Organizes small and large donor events, in-person and virtual. Assist with planning our annual Gala event, managing details and donor communications.
- Provide significant event support including but not limited to attending events, some on weekends and evenings, checking in guests, helping with production and staffing needs, and facilitating the role of host for the department.
- Other administrative duties as requested to help the Development Department thrive.
Requirements:
- Enthusiasm and passion for the arts encouraged.

- Experience in non-profit work or a background in administrative or event planning.
- Outstanding interpersonal and communication skills characterized by the ability to listen, speak, and write effectively.
- Excellent organizational skills, consistent accuracy in work.
- Willingness to learn new skills (CRM).
- Computer literacy required: word processing, spreadsheets, Google Suite.
- Required to work a flexible schedule, including occasional evenings and weekends, as needed.
Ability to:
- Have significant screen time (5-8 hours daily);
- Moderate physical needs – able to lift and carry upwards of 20 lb;
- Manage confidential information with discretion and tact;
- Provide excellent customer service;
- Act with integrity and professionalism;
- Work collegially and collaboratively in a team setting;
- Prioritize and work independently, follow through with details
Compensation and Benefits:
This is a salaried exempt position with a minimum annual salary of $47,000. Full-time employees have access to medical insurance (including vision) and dental insurance, currently fully covered by PTC. Employees may also upgrade their medical insurance plan at their own expense. PTC provides employees with the option to participate in a pre-tax 403(b) retirement plan. In addition to the paid company holidays, PTC provides 15 PTO days and 10 sick and wellness leave days per fiscal year. PTC also offers bereavement leave and parental and medical leave.
Work Schedule:
The typical work schedule for the theatre administrative office is Monday to Friday from 9 am to 5 pm. This role will require some schedule flexibility to execute and attend weekend or evening PTC events. PTC has a hybrid work schedule that combines remote and in-office work.
Start Date: ASAP. Ideally, by January 6, 2025.
