Position Overview:
The Temporary Volunteer Specialist will be responsible for assisting the Volunteer Specialist with the Flower Show responsibilities as well as assisting to manage our year-round volunteers and volunteer opportunities and events. This position will be responsible for assisting with recruitment, trainings, communication, data management and retainment of PHS volunteers. This person should be well-organized, outgoing and have strong attention to detail.
The duration of this position is January 26, 2026 to July 24, 2026.
Primary Responsibilities:
- Support the Volunteer Specialist with the following:
- Assist (when needed) with Volunteer Hours Reporting and pulling reports.
- Assist with posting volunteer positions on VolunteerHub.
- Assist with meeting scheduling and preparation.
- Take meeting notes and produce minutes for Committee/Volunteer meetings.
- Help manage Volunteer Lounge at the Flower Show for over 2,500 volunteers.
- Help answer questions from all volunteers.
- Assist with developing communications, schedules and trainings for all volunteers.
- Assist with volunteer recruitment emails for groups and individuals.
- Assist with the planning of the Annual Volunteer Thank You Event.
Qualifications/Specification:
- Education Required: High school diploma or equivalent
- Years of experience needed: 3+ years of Customer Service and/or Administrative Assistant experience and/or Events experience
- Licenses/Certifications:N/A
- Driver’s License: N/A
- Knowledges, Skills, Abilities required for success:
- Experience in Customer Service for when interacting with volunteers and Staff
- Comfortable with writing and editing
- Proficient in data entry and with learning new technologies
- VolunteerHub
- Microsoft Suite (Word, Excel, PowerPoint, Teams, Outlook, SharePoint)
- Formstack
- Organization of files, documents, calendar, etc.
- Be able to work in a fast-paced environment
- Be flexible with time during the show
Physical Demands:
This is largely a sedentary role that requires looking at a computer screen for extended periods of time; however, some physical demands are required. During the Flower Show, this role can be physically demanding. You may be required to stand for up to 8 hours a day, do extensive walking, and lift 25+ lbs. Must be able to work in all weather conditions.
Standard Hours (including travel, evening, and weekend hours): PHS’s standard office hours are 9 AM to 5 PM at team member’s designated workspace. Some teams and positions work alternate hours because of the nature of their role at PHS. Your Business Unit’s Working Norms document will identify alternative hours, if applicable.
Flower Show Requirements: Hours preparing for the show and the duration of the show may not follow your regular work schedule. Your Flower Show schedule will depend upon your temporary position supporting the Flower Show. We will provide you your Flower Show schedule beforehand. Hours can begin to increase the week (February 23rd- February 27th) before the Flower Show and during the Flower Show (February 28th-March 8th). No weekends off from the 23rd of February to the 9th of March.
