Salary Range: $45,000 - $50,000/year
Position Summary
The Grant Manager & Development Assistant plays a key dual role in advancing the mission of The Philadelphia Film Society by managing the grants lifecycle and providing essential support to the development team. This person will also be instrumental in the planning and execution of the organization’s three major annual events: a donor reception and two film festivals. This role requires strong writing skills, an eye for detail, and the ability to juggle multiple priorities with professionalism and enthusiasm.
Primary Responsibilities
Grant Management (Approx. 50%)
- Research and identify new grant opportunities from foundations, corporations, and government sources.
- Maintain a grants calendar to manage deadlines, applications, and reports.
- Write and edit grant proposals, letters of inquiry, and funder reports.
- Collaborate with finance staff on grant budgets and the Education and Community staff on programming events.
- Track grant activity and funder communications in the donor database and/or grants management system.
- Assist in cultivating and stewarding grant makers through updates, acknowledgments, and occasional site visits.
- Familiarity with Donor Perfect and Donor Search a plus.
Development Support & Event Coordination (Approx. 50%)
- Provide logistical and administrative support to the development department.
- Maintain accurate donor records in the CRM/database
- Support direct mailings, donor communications, and acknowledgment letters.
- Assist in the execution of fundraising campaigns and appeals.
Major Events
- Take a lead role in coordinating three key annual events:
- Annual Oscars Party: Assist in venue coordination, invitations, guest list management, materials, and on-site logistics.
- Two Film Festivals: Support all aspects of event planning including sponsorship outreach, promotional materials, volunteer coordination, ticketing, and event-day operations.
- Annual Donor Gala: Coordinate with all stakeholders to plan, execute and follow up with all event details.
- Work cross-departmentally to ensure successful event execution and excellent guest experience.
- Serve as the primary administrative and logistical support for these events, under the guidance of the Director of Development.
- Coordinate with Events Manger for festival events.
Qualifications
- Bachelor’s degree or equivalent experience.
- 2+ years in nonprofit fundraising, grant writing, or event planning.
- Excellent writing and editing skills.
- Strong project management and organizational abilities.
- Ability to work both independently and collaboratively.
- Comfortable juggling multiple deadlines and tasks.
- Familiarity with donor databases and event planning tools a plus.
- Passion for nonprofit work and mission-driven storytelling (bonus if you love film!).
