Bucks County Playhouse in New Hope, PA is in search of an Events Coordinator. The Playhouse has become one of the leading regional theaters on the East Coast and is the largest arts organization in Bucks County.  BCP presents a year-round schedule of original productions, featuring stars of the stage and screen, and visiting artists presentations.  Its two-acre campus includes the historic Playhouse and Playhouse Barn; Playhouse Deck, a full restaurant and bar; an outdoor courtyard café; waterfall picnic area; river promenade; and the historic Lambertville Hall. Job Overview 

The Events Coordinator position's focus is to manage day-of event operations and logistics under the direction of the Event Sales Manager across three of the Playhouse’s venues: Bill Harris & Jay Manas Playhouse Barn, Playhouse Deck Restaurant and Bar, and Lambertville Hall. 

Responsibilities 

  • Oversee day-of event operations including setup, breakdown, and onsite management during events across three Playhouse venues: Bill Harris & Jay Manas Playhouse Barn, Playhouse Deck Restaurant and Bar, and Lambertville Hall 
  • Serve as the onsite contact for clients and vendors 
  • Assist clients with their needs and preferences for each event including load in and load out 
  • Collaborate with vendors and clients 
  • Lead a team of event staff, day-of event 
  • Serve as Playhouse Deck’s lead representative for the Playhouse’s cabaret series in the Bill Harris & Jay Manas Playhouse Barn; managing the seating chart and a team of service staff 
  • Reference BEOs (Banquet Event Orders) to make sure event is set up properly and running according to plan 
  • Report any event feedback to the Event Sales Manager 
  • Handle final payment of food and beverage from clients as needed 
  • Assist the Event Sales Manager with any venue organizational and cleaning duties as needed 
  • Assist the Event Sales Manager with any administrative duties as needed 
  • Assist the Event Sales Manager or Restaurant General Manager with any additional duties including but not limited to client venue tours

Qualifications 

  • Strong attention to detail 
  • Experience working in a restaurant is preferred 
  • Experience in event planning and operations 
  • Experience with managing a team of 1 or more people 
  • Experience with Toast POS is preferred 
  • Proficiency in Microsoft Office and CRM event management software 
  • Willing to work weekends, nights 
  • Ability to work flexible hours as necessary for events 
  • Understanding that, based on event schedule, some weeks will either be more demanding or slower than others
