Stage & Company Manager

Reports to: Director of Production

Location: Philadelphia, PA (with travel as required)

Status: Full-time

BalletX, Philadelphia’s premier contemporary ballet, seeks a Stage & Company Manager to serve as the company’s resident stage manager and a key partner in both production and company operations. This full-time position plays a vital role in supporting rehearsals, performances, tours, and the day-to-day logistics of working with dancers and guest artists, ensuring that artistic work moves forward smoothly, efficiently, and with care.

The Stage & Company Manager works closely with artistic leadership, dancers, choreographers, guest artists, and the production team to support the creation and presentation of new and existing repertory. From stage managing rehearsals and performances to coordinating company travel and serving as a primary liaison for guest artists, this role bridges artistic, production, and administrative functions. The ideal candidate is highly organized, calm under pressure, people-centered, and excited to contribute to a collaborative environment that values both artistic excellence and strong operational systems.

This position is full-time with a salary range of $60,000-$70,000 (commensurate with experience) and accompanying benefits including health insurance, 401k match, and paid time off. BalletX is an equal opportunity employer.

 

Key Responsibilities

Stage Management & Performance Support

  • Serve as the primary stage manager for all BalletX performances, tours, and productions
  • Prepare and maintain calling sheets, cue lists, rehearsal and performance reports, and related documentation
  • Coordinate backstage operations, crew communication, and performance flow
  • Ensure safe, efficient backstage environments during rehearsals and performances
  • Assist with load-ins, spacing rehearsals, technical rehearsals, and strikes
  • Document and report incidents, injuries, or safety concerns to the Director of Production in a timely manner

Company Management & Artist Logistics

  • Coordinate travel arrangements for company dancers, staff, and guest artists, including flights, ground transportation, lodging, and itineraries
  • Prepare, track, and maintain travel budgets in coordination with the Director of Production
  • Serve as a primary liaison for guest artists, supporting onboarding, scheduling, travel, housing, and day-to-day logistics
  • Distribute itineraries and provide clear communication to artists and staff while on tour or traveling for performances
  • Track travel-related expenses and assist with reconciliation and reporting
  • Support company members and guest artists with logistical needs while traveling or in residence

Rehearsal & Studio Coordination

  • Support studio rehearsals by coordinating schedules, space use, and rehearsal logistics
  • Oversee and maintain the general studio calendar, ensuring accurate scheduling of company rehearsals, artistic activities, and production-related studio use
  • Coordinate studio scheduling needs with the Director of Production and other departments as required
  • Track rehearsals, casting, understudy coverage, and artistic notes
  • Serve as a primary point of communication between dancers, choreographers, and artistic leadership during rehearsal periods
  • Support spacing rehearsals and transitions from studio to stage
  • Assist with rehearsal documentation and artistic record-keeping

Artistic Coordination & Documentation

  • Support artistic staff with scheduling, planning, and coordination needs
  • Assist in maintaining accurate repertory records, production notes, cue archives, and artistic documentation
  • Support the Director of Production in ensuring alignment between artistic intent and production execution

Communication & Collaboration

  • Serve as a central communication hub during rehearsal, performance, and travel periods
  • Maintain clear, professional communication with dancers, guest artists, crew, and staff
  • Uphold a calm, respectful, and supportive rehearsal and performance environment
  • Support onboarding and orientation of dancers, guest artists, and seasonal production staff into rehearsal, performance, and touring processes

Qualifications & Experience

  • 3-5 years of professional stage management experience in dance or live performance
  • Experience with company management, touring logistics, or artist travel coordination strongly preferred
  • Strong understanding of rehearsal processes, production flow, and backstage operations
  • Exceptional organizational, communication, and problem-solving skills
  • Ability to remain composed and solutions-oriented under pressure
  • Willingness to work evenings, weekends, and tour as required
  • Valid driver’s license and comfort driving rental vehicles on tour
