Program Manager
ArtWell, an award-winning youth arts organization, is seeking an energetic, dynamic, and innovative Program Manager to join their team. ArtWell is seeking an individual who possesses strong communication skills, organizational skills, creativity, flexibility and a collaborative spirit to fill a Full Time Program Manager position. The Program Manager will report to the Program Director, and work collaboratively with the ArtWell management team to provide support to all aspects of our programming.
Job Description:
The Program Manager is responsible for assisting the Program Director in the daily operations, management, and administration of ArtWell’s programs and program personnel (including event coordination and ongoing planning, record keeping, and evaluation); community outreach (including public presentations and securing and maintaining community partnerships and program contracts); and the development of new program initiatives. The Program Manager is a core member of ArtWell’s management team and works with the Program Director, Program Coordinator, Associate Director, the entire staff, and any key stakeholders to ensure high quality delivery of all ArtWell programs.
The Program Manager reports to and is supervised by the Program Director and works collaboratively with the entire staff team.
Responsibilities Include:
Program Operations & Administration (50%)
- Program Manager will be a part of ArtWell administrative team and support core functions of ArtWell including strategic planning, public speaking, and relationships with key stakeholders including Board members
- Serve as lead liaison with community partners and fee for service clients. Assist with communication with other partners including the School District of Philadelphia and site administrative staff and teachers.
- Work with Program Director and Associate Director to refine and align annual program goals with core values and strategic plan
- Assist Program Director in hiring and orienting program staff and annual Teaching Artist cohort
- Assists Program Director in scheduling Teaching Artist assignments at program sites.
- Assists Program Director in managing annual cohort of Teaching Artists including dispute mediation, performance evaluation and coaching, and scheduling substitute Teaching Artists when necessary
- Attend and support Site Visits with and in-place of the Program Director when needed, provide written and verbal feedback to Teaching Artists after site visits
- Manage new Program Partnerships, including outreach, communication, confirmation, and all required paperwork
- Foster good relationships and communication with all community partners and artists
- Assure that program goals are communicated and that any challenges and successes are documented and addressed.
- Identifies opportunities for ArtWell to engage in adult programming, Professional Development opportunities, and community programs. Develop and manage ArtWell’s “menu” of professional development workshops
- Manages workflow and booking related to adult programming/professional development
- Along with Program Director, cultivate community relationships, including meeting with other strategically aligned organizations Develops community project guidelines and best practices.
- Develops community program designs and manages the implementation of community projects, e.g. ArtWell’s MasterPeace
- Oversee program data collection process including weekly surveys and end-of-year surveys. Along with Program Director develops new practices to collect data on the efficacy of ArtWell’s programs
- Assists Program Director in data evaluation and Programs efficacy evaluation, e.g. weekly surveys, site visit feedback, end -of-year surveys
Strategic Plan Management (10%)
- In partnership with Program Director, serve as strategic collaborator for new program development, working in tandem with related personnel (including staff. artists, community partners, and board members)
- Assists the Program Director in the assessment, monitoring, and implementation of the programmatic strategic plan
- Continuously identify additional transformational and innovative opportunities that align with the ArtWell strategic vision
Teaching Artist Management (10%)
- Assist with hiring and orienting of Teaching Artists
- Assist with recruitment of new Teaching Artists as needed seasonally
- Assist the Program Director in planning annual Teaching Artist orientation
- Assist the Program Director in the management of Teaching Artist assignments and contracts
- Work with all other members of the Program team to prepare and finalize program and Teaching Artist site and teaching schedules
- Participate in midway check-in and end of year debriefs
Financial Support (5%)
- Assist Executive Director, Associate Director, and Program Director with budget writing, forecasting
- Manage program income streams in conjunction with Program Director
Event Planning (15%)
- Work with all other members of the Program team to plan annual ArtWell Art & Poetry Show
- Coordinate events such as public poetry readings, performances, and partner engagements
- Support with organizational and programmatic events such as ArtWell Anchor Day, pop-up workshops and art installations, partner engagements, and other events as they are scheduled
Supervision (5%)
- Supervise 1-3 Community Programs interns/year with assistance from Program Coordinator
Organizational Support (5%)
- Contribute to narratives for grants, website copy, annual appeal, and other development and communication functions
- Participate in staff meetings
- Participate in Program Committee meetings and lead meetings when necessary to fill in for Program Director Participate in Board meetings when necessary to fill in for Program Director or under other special circumstances
- Support coordination of volunteers as needed
Qualifications
- 3+ years Experience with program management either as an independent contractor or with another organization.
- Teaching Artist experience (2-4 years)
- Arts Education experience
- Understanding of trauma informed care preferred
- Events management or coordination experience preferred
- Experience contributing to and managing budgets

USD $60,000
Full Time position, 40 hours/week,
85% remote
