PRODUCTION MANAGER

Production Manager 

Theatre Exile’s Production Manager position supports the company’s theatrical productions and events, its rental program regarding technical and production matters, and oversees the repair and maintenance of our facility. The PM reports to the Producing Artistic Director and works closely with the Director of Operations and Operations Consultant.

Responsibilities for Artistic Programs and Events 

The PM is responsible for overseeing and managing the execution of all production and technical needs for Theatre Exile’s productions and events including: our subscription series, Studio X-hibition New Play Development, education program presentations, and fundraising and related programming events.  Duties include:

Create and ensure adherence to the production scenic schedule

Oversee all aspects of production execution (design, build, load-in, load-out, light hang, costume fittings and maintenance, venue preparation, and sound installation) 

Participate in design review for feasibility of construction and budgetary standpoint

Manage Exile’s in-house production support staff 

Coordinate with Philadelphia Scenic Works (PSW) and other outside vendors to ensure productions stay on schedule and executed to Exile’s standards. 

Work with designers and contractors to source and utilize high-quality and sustainable materials to ensure professional scenic elements

Regularly review rehearsal and performance reports and coordinate execution of scenic notes in a timely and efficient manner

Be onsite for, and participate in, load in and tech

Supervise crew calls 

Hire crew for productions, prioritizing Theatre Exile’s goal of diversity and inclusion

Work with the Producing Artistic Director, Director of Operations, and Operations Consultant to provide essential information for contracts for designers and production staff

Coordinate production schedules to maximize efficiency at work calls and balanced workload

Create and maintain show-specific production calendars detailing rehearsals, performances, load-ins, technical rehearsals, and load-outs. 

Create contact sheet for all productions

Provide timely and accurate production staff information to Director of Operations and Theatre Exile’s press relations vendor including, but not limited to: name and job title

Coordinate and conduct regular production meetings and disseminate information to the production team as necessary 

Maintain and restore space to its standard set up after each production including, but not limited to: returning lights to rep plot, equipment and materials inventory, and costumes and props to storage

Schedule theater maintenance and monitor, organize and maintain equipment and materials inventory

Maintain accurate files of set designs, light designs, technical riders, and sound designs for all productions 

Work with the Producing Artistic Director to create production budgets and budgets for capital grant applications

Purchase/rent equipment and materials as necessary  

Monitor expenses including finding solutions to stay within budget 

Maintain a safe workplace and ensure that safety rules are followed in the theater. 

Manage all theatrical equipment inventory and maintain organized storage of equipment

Provide regular communications with production team and staff about show updates and activities

Perform other related production work as required

Provide production planning and staffing support for fundraising and related events

 

Rental Program and Facility Responsibilities 

The PM is responsible for assisting management with technical and scheduling aspects of Theatre Exile’s Rental Program and  overseeing management,  repair and maintenance of Theatre Exile’s facility. Duties include: 

Conduct tours of Theatre Exile’s space for potential rental clients  to determine technical needs and feasibility of rental client’s requests.

Work with the Operations Consultant to determine technical needs of rental clients

Assess, arrange, and/or provide resource information, as appropriate, regarding production support for rental clients

Hire or make recommendations to rental clients regarding technical support as requested by rental clients

Liaison with rental clients regarding production needs

Input critical production activity taking place in our facility on Theatre Exile’s global calendar of all activity in the building 

Work with the Director of Operations and Operations Consultant to generate quotes and finalize terms, fees, and costs for renters requiring technical support.

Work with Operations Consultant to manage rental staffing needs, ensuring all rentals have appropriate Exile reps scheduled.

Work with Producing Artistic Director to establish a standard theater configuration to restore to at the end of each production and rental including, but not limited to: rep plot, riser configuration, equipment and materials inventory, organization, and storage

Be part of Exile’s team tasked with envisioning and executing a plan for expanding Exile’s rental program. 

Assist management with monitoring and assessing needed maintenance and repairs to our facilities major systems (i.e., HVAC, elevator)

Manage upkeep of facility equipment and work with management to assess equipment needs.

Attend, and participate in, Exile staff meetings

 

This is a full  time, year-round, exempt position with benefits including employer paid medical  plan.
