Evening Registrar & Program Coordinator

Position Summary:

Main Line Art Center seeks a creative and energetic Program Coordinator & Registrar to provide administrative and customer support for classes, workshops, and events. This position is multi-faceted and requires a poised and professional demeanor. The Registrar must maintain an exemplary sense of professionalism and the ability to proactively problem solve. Candidate must feel comfortable being the only staff member onsite from 5 to 9:15 PM, as well as closing the building. The position pay rate is $22.00/hour, 24 hours per week, with a projected start date of early January 2025.

The current schedule for this position is:

Tuesday-Thursday, 1:15-9:15 PM. Additional hours available for weekend events.

Visitor Services:

  • Provide administrative support in a forward-facing role: greet visitors, manage the phone system (incoming calls and voicemails), monitor the info email account, check and sort mail, and maintain office equipment and space to ensure the Center is fully operational.
  • Address teaching artist needs and concerns
  • Advocate appropriate class selection to students to ensure a satisfying class experience
  • Relay student, guest, and visitor inquiries and feedback to relevant staff
  • Assist with special events, parties and rental programs as needed
  • Correspond with students regarding supply lists, directions and class information
  • Provide payment request slips for models
  • Assist with program evaluation, research, and other programmatic support as assigned by Education department

Registration and Database Management

  • Process registrations for all classes, workshops, events, birthday parties, and private lessons
  • Process all refund requests, while upholding the Center’s refund policy
  • Manage class cancellations and notifications, communicating with students on the phone and over email
  • Process sales of inventory, exhibition artwork, and gift shop
  • Knowledgeably speak about the artwork currently on view in the galleries
  • Maintain all constituent records in the database and mailing lists
  • With other Registrars, enter all class information for each semester (fall, winter, & spring) and summer camp in database to create online class listings
  • Operations
  • Manage office supply stock and ordering
  • Participate in staff and other meetings as needed
  • Organize and maintain copy area supplies and publications
  • Other duties as assigned by Supervisor

Qualifications:

The ideal candidate will be highly-motivated and hardworking, with the ability to handle whatever task is put before them with efficiency and an attention to detail. Previous experience with registrations or collections management, an appreciation for organization, and the ability to carefully manage time and meet deadlines are essential. Experience:

  • 2 years of related experience in an administrative position working in customer service and database management
  • Advanced understanding of MS Office (particularly Excel and Outlook)
  • Experience managing large constituent database systems required
  • Ability to effectively present information in one-on-one and small group situations to members of the community.
  • Physical Requirements & Working Conditions:
  • Must be able to remain in a standing or stationary position for extended periods of time.
  • Must be able to adapt to high-paced environments.
  • Occasionally move/lift lightweight equipment and other work-related objects up to 25lbs.
  • The Registrar may need to cover occasional shifts during the week in collaboration with other Registrar staff.
