Administrative Assistant

Philadelphia Jewish Film and Media (PJFM) seeks a dedicated and organized Administrative Assistant to support the organization.

Primary Responsibilities:

  • Attend weekly meetings.
  • Answer and direct phone calls and emails.
  • Schedule and coordinate meetings.
  • Assist Executive Director in development and administrative duties.
  • Support programmatic and event needs as assigned.
  • Track incoming sponsorships (printed and digital) through Microsoft Excel and the organization’s CRM.
  • Mail merge, print, and send Thank You letters to new sponsors (once a week).
  • Assemble sponsor material.
  • Correspond with sponsors as directed.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Receive, sort, and distribute incoming mail.
  • Maintain filing system (both printed and digital).
  • Generate reports.
  • Perform other duties as assigned.

Qualifications and Requirements:

  • Preferred 2+ years in office administration.
  • Proficiency in Microsoft Office (experience using Mail Merge required).
  • Preferred experience in Microsoft Teams.
  • Preferred experience with Zoom.
  • Strong communication skills.
  • Experience with CRM databases.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Must be flexible.
  • Attention to detail and problem-solving skills.
  • Strong organizational and planning skills.
  • Proficiency in various office equipment.
  • Reliable transportation. 
  • Must be willing to travel and work nights and weekends as needed.
  • Interest in film, digital media, and/or film festivals is preferred, but not required.

The Administrative Assistant will work flexible hours, about 15-30 hours a week. This is a hybrid position.  However, in-office hours may be required as directed. The Administrative Assistant should be able to attend in-person programs.
