Media Center Manager

Scribe Video Center is a media arts education center located in Philadelphia that provides instruction in video, film, audio and other forms of digital media production. Founded in 1982, Scribe works with emerging and mid-career artists, as well as with members of community organizations, who wish to make use of video as an artistic medium and as a tool for progressive social change. Though focused on a constituency in the Delaware Valley region, we collaborate with media arts centers and filmmakers nationally and internationally.  "Scribe" is a metaphor for the use of electronic media as the modern medium to record significant contemporary concerns and events.

Job Description: 

The Media Center Manager at Scribe has the primary responsibility for oversight of the arts center building at 39th and Lancaster Avenue (screening room, workshop spaces, edit lab, and radio station), as well as office operations. The Media Center Manager, who is the first point of contact for those new to Scribe, is also responsible for on-site communication with the public about the programs. The Media Center Manager handles registration and payment for workshops. The Media Center Manager is a key part of program team, working closely with the Executive Director, Technical Director, Technical Coordinators and Instructors as well as supporting the Development Team.

On-Site Contact. Scribe’s facilities are open to the public from 10 am to 6 pm, Monday through Friday, and for workshops and screening during scheduled evening hours (7 pm to 10 pm) and weekends (10 am to 2 pm.). The Media Center Manager works with the Technical Coordinators to make sure the Scribe facility has staffing coverage during those hours and to make sure someone is on hand to receive the public, answer questions and secure the building as necessary.

Program Implementation.  Working with other Scribe staff, the Media Center Manager coordinates preparation for on-site programs.  This includes but is not limited to text preparation, and ordering supplies and equipment, monitoring registrations, collecting payments, and communicating with attendees, and coordinating the distribution of program assessment documents such as surveys and evaluations.

The Media Center Manager creates monthly activity reports and invoices for billing for equipment, space rental, tape stock and other supplies.  The Media Center Manager sends invoices to users and provides a list to the bookkeeper, as requested.  The Media Center Manager working with other staff, reviews and updates Scribe’s website periodically.

The Media Center Manger also organizes electronic and paper files related to Scribe programs and works produced through Scribe’s initiatives..

Communications. The Media Center Manager manages and coordinates member and customer databases (CRM, Excel) and mailing lists. In managing the CRM, the MCM also assists with annual membership drives and fundraising appeals. They are responsible for sending communications such as thank you letters to individual donors and Scribe members. 

Facilities and Asset Management.   Scribe’s building is a public place. The Media Center Manager has primary responsibility to ensure that all program participants, guests and staff are safe and ensure the security of equipment, materials and the premises.  The Media Center Manager creates and maintains systems to ensure that when the building is occupied, a designated trained person is on-site and familiar with safety procedures, especially at those times when no core administrative staff is present. The Media Center Manager must also make sure that all systems and services for the building are in order, including utilities and maintenance, and that the space around the building is clean, clear and accessible.

The Media Center Manager has primary responsibility for office maintenance, including files and filing, computer systems, invoicing, purchase orders, office machines, petty cash, and ordering and maintaining supplies and equipment. The Media Center Manager also schedules and maintains all of Scribe’s physical assets, including assigning and scheduling program areas; production, screening and editing equipment.

The Media Center Manager coordinates the loan of works form the Scribe library.

Requirements.  

  • Experience in office management. 
  • Excellent communication and writing skills
  • Superb organizational skills
  • Good computer and internet skills, familiarity with word processing and database programs. 
  • Familiarity with digital video and audio equipment and non-linear editing softwares.
  • Welcoming and friendly disposition. 

It is desirable that the Media Center Manager have experience working with diverse constituencies (age, ethnicity, class, gender, sexuality) and have excellent public speaking skills to represent Scribe to peer and community organizations.
