Purpose:  The Enrollment Management Assistant plays a crucial role in supporting the enrollment management team by providing essential administrative and clerical assistance. This position ensures the smooth operation of the admissions and continuing education office, delivering outstanding service to prospective students, current students, faculty, and staff.

Desired Skills and Experience:

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Experience in an administrative support role, preferably in an educational setting.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with database management systems.
  • Ability to handle confidential information with discretion.
  • Strong customer service orientation and problem-solving skills.

General Responsibilities:

  • Handle phone and email inquiries with efficiency and accuracy, providing valuable information to prospective and current students, faculty, and other stakeholders.
  • Be the friendly face that greets campus visitors and their guests, ensuring a positive and welcoming experience.
  • Manage the calendar for the Vice President of Enrollment Management, coordinating appointments and meetings seamlessly.
  • Create and manage Purchase Orders for both Admissions and Continuing Education, ensuring financial processes run smoothly.
  • Ensure the office is well-stocked by placing monthly office supply orders.

Continuing Education Responsibilities:

  • Student Registration and Records Management: Process new student registrations, handle course changes and drops for existing students, generate and distribute attendance rosters, maintain student tracking spreadsheets, and manage transcript requests.
  • Course Logistics and Student Support: Send timely course information and cancellation notifications to students and faculty, distribute Moodle login credentials to new students, update check-in/check-out sheet permissions, and manually add 5-week track students to attendance rosters.
  • Finance Administration: Reconcile student account balances, maintain records of credit card and check deposits, track scholarships and maintain deposit records, keep accurate records of refund deposits, and assist customers with refund processes.
