Director of Production & Finance

Title: Director of Production & Finance 

Commitment: 35 hours/week 

Compensation:  Base salary in low $50s, Benefit options, Eligible for annual bonus 

Job Reports to: Artistic Director 

The Director of Production & Finance bears primary responsibility for the financial management of Theatre Horizon, including budgeting, forecasting and reporting. This role will also oversee daily operations including banking, payroll, facilities, and human resources. A team player with a keen attention to detail, the Director of Production & Finance will ensure Theatre Horizon maintains the highest standards in terms of record-keeping, fiscal responsibility, and integrity. The Director of Production & Finance will oversee our Production Department (including managing a Production Manager and working with them to hire and supervise Production Personnel), ensure high-quality standards on our productions, build an inclusive environment for artists, and oversee  the maintenance of our facility.

We produce an ambitious season of plays, musicals and concerts for the general public, while educating nearly 1,000 children annually in the Philadelphia suburbs via our drama classes. *Third places is a term coined by sociologist Ray Oldenburg and refers to places where people spend time between home (‘first’ place) and work (‘second’ place). They are locations where we exchange ideas, have a good time, and build relationships.

Key Job Responsibilities:

Financial Planning, Budgeting, Forecasting, Reporting

  • Prepare financial documents for Finance Committee and Board Meetings; attend and facilitate meetings to talk through financials 
  • Manage Bookkeeping Service
  • Manage investments in coordination with Board President and Treasurer
  • Sign and distribute checks 
  • Coordinate with Bookkeeper to manage allocations in Quickbooks 
  • Prep annual financial statements for Board Treasurer and outside auditor
  • Work with the Artistic Director and department heads to create budgets, update forecasts and manage cash flow
  • Provide Development Department and Artistic Director with data for grant applications and reports
  • Work with bookkeeper to send out 1099’s and W2’s
  • Coordinate, facilitate and serve on Finance Committee
  • In collaboration with the Director of External Relations, renew System for Award Management (SAM) each fiscal year
  • Renew tax exemption every 5 years
  • Manage annual insurance renewal including but not limited to Health Insurance and General Liability
  • Maintain all operational and insurance compliance 

Banking and Payroll 

  • Reconcile bank statements and manage monthly credit card reconciliations 
  • Oversee bank accounts (bounced checks, limit increases, new credit cards)
  • Create payroll worksheet and input payroll in Paychex 
  • Manage Theatre Horizon memberships and subscriptions
  • Make bank deposits and reconcile bank statements

Human Resources 

  • Onboard and offboard employees (Theatre Horizon currently has a staff of 10) including creating email addresses and phone numbers 
  • Manage job postings, interviews, hiring and onboarding process
  • Oversee Education and Production contracting
  • Serve on HR committee
  • In collaboration with HR committee, manage Employee Benefits including company provided Health Insurance in collaboration with the HR Committee
  • Serve as Human Resources Manager, including recruitment, retention and release of all employees 
  • In collaboration with Artistic Director, determine and communicate staff salaries and benefits; tracking and approving PTO, FMLA and making plans with staff members and their supervisors for coverage where necessary
  • Maintain staff meeting schedule and work with Artistic Director to schedule and plan for employee performance evaluations 
  • Maintain an environment that attracts, retains and motivates a diverse and talented staff; help meet the staffing goals of our antiracist action plan  

Artistic Planning and Production 

  • Work with Artistic Director to research and acquire titles in consideration for the season
  • Work with Production Department to inquire about and apply for rights, negotiate fees for scripts; create and send season application to AEA
  • Contract and manage payroll for all artistic and production staff
  • Oversee staffing in production department including  Production Manager
  • Oversee  relationships with AEA, USA, and SDC 

  

EXPERIENCE:

  • History working with a wide variety of people and personalities; ability to create and facilitate a welcoming and comfortable environment
  • Previous experience with theatrical unions
  • Previous experience creating and managing budgets 
  • Experience managing a team and creating a culture of support
  • Proficiency in Microsoft Word, Excel and PowerPoint
  • Proficiency working in Google Suite (Gmail, Google Calendar, Docs, Forms and Sheets) 
  • Previous work with Quickbooks not required but encouraged

This is a salaried exempt position with a base salary in the low $50ks and is eligible for an annual bonus of up to 10%. This position will be entitled to participate in employee benefit plans and programs, including, but not limited to, medical, dental,  vision, FMLA, retirement, and disability plans.
