Accounting Assistant

Salary Range:$20.00 To 22.00 Hourly

 

Position Overview:

 The Accounting Assistant is an entry-level position in the organization’s Finance team that supports Finance team members with routine administrative and basic accounting tasks. 

Primary Responsibilities:

Support the Finance team’s Contract and Administration Manager by reviewing vendor support documentation for completeness to ensure they meet vendor invoicing requirements. Supported program include PHS’s Workforce Development and Landcare programs, and others, as needed.

Support the Finance team’s Financial Planning and Analysis team by compiling the documentation necessary to accompany the invoices for government contracts.

Monitor the receivables email inbox and fulfill requests from across the organization to create accounts receivable invoices using PHS’s standard invoice template. 

Reconcile cash receipts with batch reports from PHS’s customer database (Raiser’s Edge).

Record revenue receipts from various sources including but not limited to lockbox, bank deposits, ticket sales platform, and credit card payments in PHS general ledger system (currently Microsoft Dynamics SL) in an accurate and timely manner.

Data input of invoices, credit memos, and payment applications in the Accounts Receivable module within PHS’s financial software; monitor receivable balances for possible collection issues and write-offs.

Perform administrative tasks including but not limited to maintaining electronic filing systems, mail handling, and preparing bank deposits.

Support year-end annual audit process.

Perform additional administrative duties as assigned. 

Qualifications/Specifications:

Minimum degree required: High school degree or equivalent

Years of experience: One year in an equivalent position or administrative capacity

Licenses/Certifications: N/A

Knowledges, Skills, Abilities required for success:

Familiarity with the Microsoft Office suite, particularly Excel.

Demonstrated knowledge and basic understanding of generally accepted accounting principles

Must have the ability to prioritize, problem-solve, multitask, work independently, and collaborate with others.

Must possess a critical attention to detail.

Ability to work in a fast-paced environment and meet deadlines.

Ability to handle confidential information

Physical Demands: This is largely a sedentary role that requires looking at a computer screen for extended periods of time; however, some physical demands are required. 

Standard Hours (including travel, evening, and weekend hours): PHS’s standard office hours are 9 AM to 5 PM at team member’s designated workspace. Some teams and positions work alternate hours because of the nature of their role at PHS. Your Business Unit’s Working Norms document will identify alternative hours, if applicable. 

Flower Show Requirements: Hours preparing for the show and the duration of the show may not follow your regular work schedule. Your Flower Show schedule will depend upon your regular position or your temporary position supporting the Flower Show. You may be required to stand for long periods of time, do extensive walking, and lift up to 25 pounds.
