Research Administration

 

The College of Public Health consists of the departments of communication sciences and disorders, epidemiology and biostatistics, health services administration and policy, kinesiology, nursing, physical therapy, rehabilitation sciences, school of social work, and social and behavioral sciences. The college’s Research Administration office supports a growing portfolio of research grants and community service-oriented projects for more than 60 faculty. Funding comes from a variety of federal sponsors, local government and foundations. 

 

Reporting to the Associate Director, Grants and Contracts, the Grants and Contracts Coordinator manages a diverse portfolio that includes research grants, contracts and community service-oriented projects. The office is responsible for ensuring that the financial aspects of sponsored projects are developed in compliance with sponsor guidelines and in coordination with the university’s central offices, while maintaining high-quality support to faculty. The office also supports administrative requirements for proposal submission and contract management.

 

In this role, you will be responsible for pre-award administration, including but not limited to: assisting in the preparation of grant applications and budgets, tracking the progress through submission, and assisting in other pre-award activity. You will assist in researching best practices at the college level, as we continually improve our practices to provide exceptional service to faculty and other partners. On behalf of faculty and our college, you will routinely interact with sponsor contacts, the university’s central offices, and collaborating institutions, as needed. Performs other related duties as assigned.

 

Essential Functions:

  • Assist in the preparation of grant applications, including the completion of application forms and development and review of grant budgets and the coordination of sub award documents
  • Assist in obtaining appropriate reviews and approvals for SPAFs and submission to Grants Management
  • Update and maintain database of internal funding applications/awards/reports
  • Track the progress of grant applications and follow-up with faculty as needed
  • Cultivate a positive and objective environment within a deadline driven and fast paced environment
  • Update faculty Other Support pages
  • Assist in documenting procedures and researching best practices at the college level
  • Review internal funding applications to ensure format was followed and all necessary information is included
  • Process Notices of Awards with central Research Administration for accurate setup and compliance with Financial Conflict of Interest
  • Develop databases as needed (ex. research interest database)
  • Complete funding searches as requested
  • Attend training, conferences, and internal meetings relevant to position as requested by Associate Director/Director of Research
  • Support Associate Director/Director in training faculty on eRA and other research related programs/topics
  • Act as a back-up to Associate Director in regards to research related questions/assistance
  • Assist in meeting planning, room reservations, technical equipment needed, etc.
  • Filing and copying, as needed
  • Coordinate and assist with new contracts, continuations, renewals, supplements, NCE requests, prior approval requests, and fellowships (faculty and students) within assigned CPH portfolio
  • Review agency guidelines and advise PI’s on what is required of them via a checklist of materials needed, format, etc.
  • Communicate any pre-award matters necessary with external sponsors before submission
  • Coordinate, as needed, with Chairs and Associate Dean for Research regarding cost share negotiations and effort distribution
  • Coordinate, as needed, required subcontract budget and documents with universities/entities domestically and internationally be included in grant applications
  • If grant is awarded, coordinate with Grants Management to create subaward agreements and PO creation
  • Tracks subaward agreements in TUmarketplace
  • Assist, as necessary, uploading documents for electronic submission
  • Assist, as required, in coordination and submission of paper grant applications and progress reports
  • If grant is awarded and the sponsor requires revision of budget (ex. NSF  often requests revised, decreased budget from selected awardees), work with PI to revise budget
  • Coordinate requests for advanced cost centers and FOAP updates as grants and contracts become active
  • If grant is awarded, create new grant fact sheets and coordinate meetings with PI and post-award staff
  • Participate in professional development training/workshops
  • Act as back up for administrative support for project completion with Post Award as needed
  • Supports with ORA Purchase Order Audit’s and completing Faculty Effort Projections when needed

 

Other duties as assigned by Associate Dean for Research

 

Required Education and Experience: Bachelor’s degree and at least three years of related grant management/administrative experience. An equivalent combination of education and experience may be considered.  Experience with Excel, Word and internet research required. Experience with Temple systems preferred.
