Accounting Coordinator

Salary $20+/hour (negotiable for right candidate)

Reports to: Director of Business Operations

FLSA Status: Non-exempt

 

The Delaware Museum of Nature & Science is proud to announce the opportunity for a qualified Accounting Coordinator to join our team.  The Museum is heading into the final phase of an exciting metamorphosis from the Delaware Museum of Natural History to the now-named Delaware Museum of Nature & Science that will re-open to the public in May 2022. 

The Museum is focused on a service-centric culture toward our guests, including team members and a friendly, cohesive, collegial environment.   

 

Summary: Under the guidance of the Director of Business Operations, provide general accounting, Versai database administration and a number of administrative responsibilities in support of all aspects of the Museum.

 

Essential Functions:

General Accounting

  • Update and reconcile the Daily Cash Report and Daily Attendance Report
  • Prepare and enter journal and payroll entries
  • Prepare and distribute the Operations reports
  • Control, monitor and distribute petty cash
  • Assist the Director of Business Operations with the preparation of the annual budget and annual audit
  • Update the payroll system, prepare payroll for Director of Business Operations review, and distribute paychecks
  • Maintain Accounts Receivable and Accounts Payable journal entries and reporting

 

Point of Sale System Administration

  • Primary contact for the administration of the Point of Sale System
  • In coordination with the Director of Business Operations, develop and implement financial policies, procedures and Payment Card Industry (PCI) compliance

 

Administration

  • Coordinate the maintenance of Museum copiers and the postage meter

 

Secondary Functions:

Administration

  • Act as Museum liaison with IT company for computer issues in the absence of the Director of Human Resources & Volunteerism
  • Uphold the highest quality of the guest experience through equitable, respectful interactions that meet the unique needs of each guest and team member
  • Be conversant in the Museum’s mission, exhibits and programs to enhance the guest experience

Minimum Qualifications:

  • Associate degree in accounting or business-related field preferred
  • 2+ years accounting/bookkeeping experience, preferably in a non-profit setting
  • Experience with POS software and QuickBooks preferred
  • Proficient in Microsoft Office (Excel skills must be at intermediate level or higher)
  • Excellent verbal and written communication skills
  • Advanced ability to organize and handle multiple projects
  • Ability to work independently, and effectively and harmoniously as part of a team

 

Schedule:

  • This is a full-time (Monday -Friday) position; 37.5 hours per week.  Occasional evenings and weekends may be requested to assist with special events and programs. The Museum strives to provide team members with the ability to have work/life balance while meeting operational needs.
