Office Administrator

Galbraith & Paul is a studio-based business in Philadelphia specializing in the design and printing of fabrics, wallpapers, and pillows for the high-end interior design market.   

We're looking for an experienced Office Administrator with a background in the Interior Design Industry to perform all aspects of our office operations.    The Office Administrator will work with our current Office Manager performing the following duties:

Bookkeeping tasks with Quickbooks:   Writing up detailed custom orders; receiving and applying payments to orders; preparing deposits;  running reports on pending orders and creating Excel spreadsheets; reconciling checking and credit card accounts; posting invoices from suppliers; sales tax recording and reporting.   A high level proficiency in Quickbooks and Excel is required

Project Management tasks include managing different lead times and product details for fabric, wallpaper, and pillow orders; following up on missing information for existing orders; interacting with production staff about order details; communicating to showrooms and customers to answer questions and resolve problems.   The ability to multi-task, prioritize, and communicate clearly is required.   Microsoft Word, Excel and Outlook required. 

Purchasing tasks include ordering materials and supplies for studio operations, writing up purchase orders and placing online orders; creating a paper trail for purchase orders, packing slips, and invoices;  communicating with suppliers about order problems, etc.   Experience and proficiency with purchasing and vendors is required.

Other Clerical tasks include entering customer and sales information in Daylite CRM (will train);  filing and maintaining filing system; organizing sampling requests from showrooms and clients; as well as other miscellaneous office tasks.   

Job Requirements

  • Office background in the Interior Design Industry - showroom, designer, manufacturer.  3+ years. 
  • High level of proficiency in Quickbooks with Accounts Receivable, Accounts Payable, and Reporting. Proficiency in Excel, Word, Outlook. Proficiency in both Mac OS and Microsoft Windows Operating Systems. 
  • Demonstrated ability to multi-task, prioritize, and be highly organized in a fast-paced environment.   Candidates should be able to see the big picture but also pay attention to the details.   Also they should be able to meet deadlines without much supervision.
  • Demonstrated ability to be professional, discreet and courteous.
