Kaleidoscope Administrative Assistant

Specific responsibilities for this full-time position include:

  • Assists with providing all documentation necessary for program licensing under PA Department of Health and Human Services and PA Department of Education regulations.
  • Knowledge of and compliance with all Settlement Music School Code of Personnel Practices and Head Start Performance Standards requirements including safety and emergency procedures.
  • Maintain teacher sign-in sheets, including hours for part-time teachers and staff, and submit bi-weekly payroll to Finance and Administration Department.
  • Organize and maintain documents and files orderly, including the fire drill log and fire drill and safety procedures.
  • Prepares the program for opening daily and assist the Early Childhood Program Director with program and facilities problem solving.
  • Responsible for billing and maintenance of the schedule for the Kaleidoscope Program.
  • Coordinate teacher communications to both internal and external stakeholders.
  • Responsible for parent communications.
  • Emergency classroom coverage, if needed.

Qualifications:

  • Detail-oriented with excellent organizational skills.
  • Previous experience in a professional office environment.
  • Excellent reading, writing, computer, and communications skills.
  • Proficiency with Microsoft Office 365 products a plus.
  • Ability to work collaboratively and manage time efficiently.

The Administrative Assistant works directly with the Early Childhood Program Director and Family Services Provider.
