Logistics Manager

OVERVIEW:        This is a key role in the organization that will have a significant effect on how the business develops.  You will provide exceptional service for both clients and members of staff for all pre-sale and post-sale logistics-related activities to ensure the timely and cost-effective transportation of property domestically and internationally.  Responsibilities will include but are not limited to vendor management, inventory management, continuous process improvement, KPI reporting, and various related administrative tasks.

ESSENTIAL FUNCTIONS: including but not limited to:

  • Schedule and manage all internal and external shipments of property including the transfer to/from Clients and between Freeman’s locations;
  • Schedule and manage shipments of marketing and exhibition materials to various domestic & international locations;
  • Work with other team members including Sale Room Manager, Post-sale Administrator, Department heads, Specialists and administrators, Marketing and Photography; all to deliver an integrated, consistent and exceptional client experience;
  • Maintain and scan all required documentation associated with shipments in accordance with department procedures;
  • Prepare customs documents and submit to the appropriate regulatory bodies or shippers, ensuring the accuracy of the information and its timely submission;
  • Oversee CITES compliance and documentation including application and renewal requirements;
  • Maintain the Company’s preferred Shipper’s list, monitoring shippers’ performance against Company’s level of service requirements;
  • Obtain all COI (Certificate of Insurance) requests;
  • Respond to and resolve shipping inquiries and issues;
  • Perform physical inventory control procedures and checks on a regular basis, [quarterly];
  • Manage logistics within pre-approved annual budget defined by the Director of Finance. Seek prior approval for un-budgeted items of expenditure and provide explanations for cost over-runs that may have occurred;
  • Provide timely reports of damage and other issues arising from the logistics operations;
  • Budget and cost management as it applies to relevant vendors and supplies;
  • Track and report key metrics for all areas managed in order to provide trend analysis and substantiate areas requiring process improvements.

Qualifications:

  • Bachelor's degree with at least 2-3 years of related experience
  • Strong knowledge of logistics, including current packing methods, transportation methods and regulatory compliance
  • Action oriented with skills and aptitude to excel in a fast-paced client-focused and deadline-driven environment
  • Excellent client service skills; ability to remain calm in pressure situations
  • Ability to learn quickly and apply knowledge
  • Excellent communication and interpersonal skills; demonstrated ability to communicate with all organizational levels
  • Ability to work both independently and as a team member to complete the task at hand
  • Strong organizational skills to set priorities, multi task and meet deadlines
  • Prior experience with fine art shipping is desirable
  • Flexibility to work overtime and weekend hours when necessary is required

Status:                  Full time

Hours:                  M-F 9:00 AM -5:00 PM and occasional weekends & evenings
