Marketing and Operations Coordinator

Portside Arts Center is seeking a Marketing and Operations Coordinator to join our team.

About Our Organization

Since 2008, Portside has been enabling children, teens, and adults to remain uniquely creative through year-round visual arts programming. Portside is a 501c3 non-profit community art center located in the Fishtown neighborhood of Philadelphia.  

Portside’s mission is to provide a creative and nurturing environment that empowers the artists of tomorrow and creates lifelong patrons of the arts. Through dynamic visual arts programming, we encourage students to be globally-minded citizens and fearless artists.

Portside’s core programs are After School Arts Program and Summer Arts Camp for children 4-12 years old.  Portside holds classes and workshops for children, teens, and adults on weekends and evenings. Portside holds an annual outdoor community arts festival every year.

Job Description Overview

The Marketing and Operations Coordinator’s focus will be centered around tracking Portside program enrollment and managing marketing planning and platforms as well as program calendars and schedules. Our ideal candidate will be highly organized, have strong written and oral skills, be able to work in a fast-paced environment, work well independently and in a collaborative group setting. Must be flexible and adapt easily to change. The Marketing and Operations Coordinator will report directly to the Education Director and Executive Director.

Responsibilities include

 

Managing Online Enrollment Platform:

  • Manage our online enrollment platform / CRM Jumbula
  • Create new online enrollment forms for new programs
  • Create and update student rosters for upcoming classes and program
  • Communicate student sign-ups and rosters to the Education Director
  • Communicate to Jumbula support when there are technical issues

 

Enrollment:

  • Understand all program offerings and easily communicate them to prospective families and students in person, over the phone, and through email.
  • Take prospective families and students on facility tours.
  • Take enrollment and payments in the office and over the phone.
  • Take and record tuition payments from families and students.
  • Report monthly tuition income and balances to the Executive Director and Education Director.

 

Marketing:

  • Responsible for managing daily Facebook and Instagram social posts and content.
  • Co-create and execute a monthly marketing plan for the following month’s e-newsletter, social media content, and blog.
  • Gather photos, articles, and stories each month to use in the marketing plan.
  • Create monthly articles to post on our blog.

 

Website / Design:

  • Maintain brand continuity throughout the website and all marketing collateral and communications.
  • Design program brochures.
  • Physical enrollment forms to use in the office.
  • Design program and event flyers and posters.
  • Working knowledge of the Weebly website building platform.
  • Update website with new programs and classes.
  • Update program calendar and blog on the website.
  • Maintain branding across the website.

 

Programming:

  • Take supply inventory for all art classrooms.
  • Drive our 15 passenger vans to schools to pick-up our students.
  • Update and maintain program calendars.

 

Requirements:

  • Must be proficient in Adobe Photoshop, Microsoft Word, Microsoft Excel, Weebly, Gmail, and Google Drive.
  • Must have some knowledge or experience with data management systems and HTML coding.
  • Must have a strong knowledge of visual arts or have a visual arts background.
  • Must have 2-3 years experience working with children ages 4-12 years old either managing youth programs or teaching in a classroom setting.
  • Must have or be willing to obtain a PA criminal background check and PA child abuse clearance from 2019.  
  • Must have a valid PA drivers license.
  • Must be able to work in our Fishtown location.
  • Must be self-motivated and works well independently as well as with a team.
  • Must be highly organized and efficient.
  • Must have a sense of urgency and be deadline driven.
  • Must work well in a fast paced environment and has good problem-solving skills.

 

This is a full-time salaried position. 

Hours: M-F 10am-6pm

Some evenings and weekends required for special events and art center board meetings.
