Administrative Assistant

This is an outstanding opportunity for an experienced administrative professional to join our friendly and passionate team at the National Liberty Museum (http://www.libertymuseum.org). Located in the heart of America’s birthplace in Philadelphia, Pennsylvania, the NLM brings liberty to life through stories of people whose character and courage have expanded liberty for all. The Museum’s exhibits, educational experiences, and public programs inspire visitors to think about liberty as an ongoing human quest that we all share.

The Administrative Assistant (AA) assists and supports the work of the NLM, by managing calendars, organizing mailings, communicating with staff, Board supporters and other external Museum associates, and providing administrative support for the leadership and departments of the Museum. This is a full-time position that reports to the COO.

Key Responsibilities*:

  • Coordinate and communicate with leadership team, staff, board, donors, the public and others for meetings, travel, and events both external and internal.
  • Provide administrative support for all NLM operations and programs, including opening and sorting mail, ordering supplies, doing data entry in Museum’s Altru database, processing mailings, etc.
  • Provide basic bookkeeping support for A/P and A/R; prepare all invoices, bills, expense forms, credit card and other materials that are sent to the Museum’s bookkeeping service each week. 
  • Assist the CEO with administrative tasks such as scheduling appointments, updating the calendar, corresponding with the Board and others, executing mailings, and carrying out other tasks as assigned.
  • Provide basic HR administrative support including processing new employment applications and screenings, payroll, and other information as needed. The AA will work with the bookkeeping service, outside HR service and all Museum staff.
  • Manage and update the NLM internal calendar and external schedules.
  • Serve as receptionist and greeter for guests as needed.
  • Attend and assist NLM programs, fundraising events, and other events.
  • Collaborate with NLM departments to support all programs/initiatives.
  • Assist with other administrative functions as needed.

The ideal candidate will be organized with excellent attention to detail and follow through, have a positive attitude, good communication skills and the ability to multi-task. They will be flexible, able to work quickly and adhere to deadlines, demonstrate good judgment and collaborate effectively with others. They should demonstrate a high degree of professionalism with all levels of the NLM staff, members, board, supporters, public and others.

Qualifications:

Bachelors preferred. High School required with administrative experience.

Microsoft Suite experience required. Blackbaud database familiarity a plus.
